Tips on Planning a Company Holiday Party

Plan early for a successful holiday party.

The task of planning your company’s holiday party can seem daunting.  It is an important event and it requires a good deal of thought and planning.  In addition to celebrating the season, it’s also a celebration of the company, its employees and their hard work and achievements over the last year.  A holiday party can also help set the tone for the coming year by creating a sense of appreciation and solidarity.  Start with the following tips to help plan a successful party:

Plan early - Planning early is key.  The holiday season is a busy time and schedules book up quickly.  Select a date and time early in order to secure your preferred venue and to ensure a good turnout.

Guest list –  Create a guest list.  Determine if it will be employees only or if significant others will be included.  Generally speaking, a luncheon during the week is usually employees only and an evening party on the weekend includes significant others.  This will give you an estimated head count to determine the size of the venue.

Venue – Securing your ideal venue is the most important aspect of planning.  Items to consider and discuss are number of people, parking, menu, staffing and other accommodations.  It might be a good idea to view the venue during an event.  It’s crucial to work closely with your venue’s professional meeting planners to ensure your specific needs are met.

Invitations – Get those invitations out early before schedules fill up!

Entertainment – It won’t be a party without some form of entertainment!  If it’s simply going to be music, decide on a DJ or band.  Also, consider games or teambuilding activities.

Recognition – This is the perfect time to recognize the achievements of the company and employees.  It could be as simple as a speech or as elaborate as an awards ceremony.
