Tips on Planning a Holiday Charity Event

The holiday season is a great time to plan a charitable event...but it is also a highly busy, stressful season for many individuals. If you are thinking of planning a charitable event this holiday season, follow these tips to make the event a success. 

How to Plan a Holiday Charity Event

1. Reserve the space in advance - Around the holidays, many corporations throw large holiday parties. To ensure you can rent the space you want during a time that works for your organization, reserve the event venue ahead of time. 

2. Select a theme - Whether you're throwing a silent auction or putting on a plated dinner, a theme can help you to select prizes, music, entertainers, speakers, and other things you need. Brainstorm possible themes that fit your organization's beliefs, the charity you're raising funds for, and the time of year. 

3. Send out invitations early - Once you've reserved the space and picked a theme, design fun invitations for your charitable event. Then send them out. Earlier is better, as it reduces the chance that invited guests will have already committed the date to another event.

4. Promote your event - To raise funds, you need guests. Find ways to promote the event on your website, in emails, in company newsletters, and using other means. Wrap promotion into everything you do to spread the word for your cause far and wide! 

5. Find donations - When fundraising, donations help keep your expenses down. Solicit donations of food, beverage, auction gifts, raffle prizes, party favors, or other items from local businesses. Soliciting donations reduces your overall expenses, provides incentives for guests to give, and is a tax write-off for local businesses. 

6. Lowest price - A better venue may offer nicer amenities that could attract more attendees and bigger donors.

7. Staff the event appropriately - When you throw an event at Boulder Ridge, we will provide all the catering staff. Your job is to provide employees or volunteers to greet and register guests, accept payment for tickets, mingle with attendees, and generally attend to other elements of the fundraiser. Solicit volunteers to do this well in advance, so you can get everyone on board for the big night. 

8. Say thanks - When you take all these steps, your event will be a success. The last thing to do is say thank you to everyone who donated their time and their money. Thanking guests makes them feel good for supporting your cause, and increases the likelihood they will continue to support.
